How Rising Roots Initiative handles personal information.

This policy explains the information we may collect through our website, youth clinic registration, donations, volunteer inquiries, and community partnerships, and how that information is used.

Information we collect

Rising Roots Initiative may collect information that you choose to provide through our website, registration forms, donation platform, or direct communications, including your name, email address, phone number, organization, volunteer or partnership interests, in-kind support information, and donation-related contact information.

When a parent or guardian registers a child for a Junior Roots Clinic, we may also collect the child’s name, age, date of birth, soccer experience level, emergency contact information, relevant allergies, medical considerations or accommodations, and required participation acknowledgments.

How we use information

We use submitted information to administer programs, communicate event details and schedule changes, respond to inquiries, coordinate volunteers and partnerships, maintain appropriate participation records, support safety during youth programming, and send future program updates when a person has chosen to receive them.

Youth information

Information about children is collected through a parent or legal guardian for program administration and safety. We do not intentionally use youth registration information for unrelated commercial marketing.

Photos and video

Media consent is handled separately from participation. A parent or guardian may decline optional photo or video permission without preventing a child from participating in a clinic when the applicable registration form provides that choice.

Third-party services

Rising Roots Initiative uses third-party services to operate portions of its programs and website. These may include Jotform for clinic registration and information collection, WPForms for website inquiries, Zeffy for online donations, WordPress for website hosting and publishing, and other service providers used for communications or nonprofit operations. Information submitted through those services may also be subject to their respective privacy practices and terms. These providers maintain their own privacy practices, which Rising Roots Initiative does not control.

Donations

Online donations are processed through Zeffy. Rising Roots Initiative does not directly process or store full payment-card information through this website.

Information sharing

We do not sell personal information. We may share information with service providers or authorized volunteers, coaches, or program personnel only when reasonably necessary to operate a clinic, event, donation process, volunteer activity, or partnership, or to support program safety. We may also disclose information when required by law or when necessary to address a safety concern.

Data retention and requests

We retain information for as long as reasonably needed for program administration, nonprofit recordkeeping, safety, legal obligations, and legitimate organizational purposes. You may contact us to request correction or deletion of personal information, subject to records we are required or reasonably need to retain.

Email and program updates

If you choose to receive future Rising Roots Initiative updates, we may use your contact information to send clinic, program, volunteer, fundraising, or community information. You may ask us to stop those communications at any time.
